How to ask your client to do a video testimonial

By Published On: December 31st, 2025

Here’s a relaxed and respectful approach to ask your client to be featured in a video case study for your business

At VideoHQ, we specialise in producing video case studies for businesses with their clients – and one of the biggest hesitations people have is: ‘what if asking them to do a video testimonial for us damages the relationship?’

And we totally get it – your biggest clients are the lifeblood of your business, and can be responsible for a big chunk of your revenue. You don’t want to risk that.

But we’ve found the opposite is the case. Asking a client to do a video testimonial for you often actually strengthens your relationship with them, as long as it’s done in the right way.

That’s exactly what Logic Resourcing director Lee Quoroll found. They run a Stoke-on-Trent recruitment agency, and featured three of their clients in video case studies…

You can read more about their experience of producing video case studies with their clients, but in the meantime, let’s dive into the best way to ask your own clients to be featured in a video testimonial.

Reframe how you think about asking your client to do a video testimonial

It’s really easy to fall into the trap of thinking this is a big favour that only benefits you – and with that mindset, you go into the conversation thinking there’s no chance they’ll agree.

A lot of clients are actually honoured by the request. It shows how much you also value the relationship, and the work you’ve done together.

There’s benefits from their point of view as well. They get to share their own success in a really professional way, which builds credibility within the industry.

For example, with the video case study we produced for Scanning Pens – a company which provides SEN tech to schools – Birchwood Primary School were able to share the support that they provide to their pupils with additional learning needs.

Get the timing right

Industries tend to have busy and quiet periods – and so for example, asking a school to do a case study video for you right in the middle of exam season is likely going to result in a ‘no’.

So it’s useful to pick your timing for when they’ve typically got a little more time.

It’s also important to make the request in that sweet spot where the work is still pretty fresh in their mind, but they’ve now started to see successful results and outcomes which they can share in a video case study.

One particularly successful way of asking your client to do a video testimonial is to tie it into a follow up meeting, where you’re already discussing what the impact of the project was.

If they’re sharing in that meeting that the project was really successful, that’s a perfect opportunity to ask them to put that feedback on camera.

Remove the fear: a professional videographer makes it easy for the client to do a video testimonial

While your client will often be keen to help you out and be featured in a video testimonial for your business – it’s still important to make it as easy as possible for them to do so.

At VideoHQ, we’ve streamlined our case study video production process to make it both really thorough, but extremely simple and relaxed for your client.

We’ll do a short pre-interview chat with them to make sure they know exactly how it’ll work on the day, and so we can get an idea of the key points they’ll make.

And on the filming day itself, the interview is conducting in a conversational manner. There’s no script for them to learn, and we can do all of the set up ourselves – we just need around half an hour to an hour of their time for a chat.

Making this clear to them at the outset puts them at ease, and makes it easier for them to say ‘yes’.

An email template for how to ask your client to do a video testimonial

Once you’ve chosen a client for a video case study, sometimes it’s helpful to have an email template you can use and customise to get the ball rolling.

This is a template that we share with our clients – we hope it’s useful for you!

Hi XX, I hope you’re having a good week so far.

We really loved working with you on the recent XX project, and it’s great to hear that you’re starting to see XX results from that.

How would you feel about being featured in a video case study sharing the success of this project, and what it was like working with us on the delivery of it?

We work with a professional videographer who makes the process really relaxed and straightforward, and they’d need less than an hour of your time for the filming.

Of course, there’s absolutely no pressure at all – but I wanted to ask as this was one of our favourite recent projects, and your results would be really helpful to others considering working with us.
